EventBuilder (“we,” “us,” “our”) is a majority women-owned and 100% women-led business in the technology industry providing virtual event software and event management services.

Together with Microsoft Teams and Skype For Business, EventBuilder's virtual event software and services create a complete webinar management suite of tools to make the most of online meetings and presentations. From secure registration pages, recording and hosting services, attendee engagement options, reporting and more. We're here to provide the webinar tools our customers need for the results they want — whether we’re helping our clients rock their own webinar programs or producing webinars for them.

We Care About Your Privacy

This privacy policy describes how we use and protect the personally-identifiable information that you may share with us. This information can include your name, title, phone, email and mailing addresses. This policy governs our websites https://portal.eventbuilder.com, www.eventbuilder.com and www.eventbuilder.rocks, online meeting software, and professional event management services owned and operated by NW Virtual Partners LLC and/or delivered under the business name EventBuilder (“EventBuilder”). These services and products include L+™, Gateway, Bridge Audio and EventBuilder. This policy does not govern web sites or services of other parties to which we may provide links as we are not responsible for, and cannot control the privacy practices or content of, those sites.

We do, however, respect your privacy. When using our site, you may obtain information, communicate with us, or link to other web sites. While doing so, you may provide us with information that enables us to provide enhanced products and services to you — and to personalize your experience with our service. To demonstrate our commitment to fair information practices, we have adopted the privacy guidelines of the communication industry. We do, however, urge you at all times to use caution when providing your personally-identifiable information and suggest that you read the Federal Trade Commission’s suggested safety precautions for Internet surfing, which can be found by clicking on www.ftc.gov.

Our Policies and Practices

We want to give you the comfort and confidence you need to fully participate in our online offerings so that we can better serve your needs. Following are our policies and practices:

Personal Information

We collect personal contact information from our customers such as name, company name, email address. We will use this information to provide information related to our services such as service confirmation and welcome emails.

We automatically collect information from browsers including IP address, cookie information and the page(s) requested. We use this information for three general purposes: to customize the content you see, to fulfill your needs and requests for specific products and services, and to inform you about our products.

We capture certain information about the events that are hosted on our networks. That information can include: features used, page visits, number of participants, length of meetings, individual participant activity, network and viewer performance, polling, surveys, Q&A, etc. This data is used to provide customers with extensive reports on the delivery of their events as well as for accounting/billing purposes and performance tuning and optimization of our service delivery infrastructure.

Any personally identifiable information that is obtained and associated with events or recordings will be retained by Us for a maximum of two years from the date of when the personally-identifiable information was collected.  Your personally identifiable information will be redacted and anonymized according to a data redaction interval.  We do not use Your anonymized data, however, the event or recording organizer may retain and use the anonymized data.

Market Research

From time to time we may post online surveys to the visitors of our services. This market research is provided voluntarily and used by EventBuilder and its subsidiaries to improve quality of services.

We occasionally sponsor free conferences, promotional offers, seminars, contests and events that may collect user identifiable information via their registration process. Meeting participants may be required to give us contact information such as name, email address, and demographics. We will occasionally use this data to send additional information about our company and services.

Security

We take every precaution to protect our customers’ information. We use secure proprietary technology, privacy protection controls, and restrictions on employee access in order to safeguard your personal information. When customers submit sensitive information via the web site, the information is protected both online and off-line.

When we ask customers to enter sensitive information, it is protected with SSL, the industry standard for data encryption.

All employees and/or contractors conducting work for NW Virtual Partners and its subsidiaries must abide by our privacy policies. Employees and/or contractors who violate our privacy policies are subject to disciplinary action, up to and including termination. Only authorized employees are permitted to have access to personal information and access is allowed on the basis of need only.

Confidentiality

We do not share or release personal information. We will never willfully disclose personal information about our customers, nor email addresses, nor contact names to any outside parties without receiving written permission or unless ordered to do so by a legal authority with appropriate jurisdiction.

We do not disclose your private, online communications. We honor the confidentiality of our customers private communications (i.e. email invitations, meeting schedules, attendee lists, questions and answers, and file uploads/downloads). However, whatever information a client may elect to publish through the use of our services will be available to that client’s authorized registrants and/or to the general public depending on service configurations selected by the client.

We protect the confidentiality of your meetings, webinars, webcasts and their contents.
We are aware that our services may be used to conduct meetings that may be private or used to discuss highly confidential information. We understand the need to protect the confidentiality of our customers’ information. We provide passwords, PINs, emailed URLs and meeting keys to restrict unauthorized access to customers’ confidential materials.

The meeting schedule, attendee lists, subject matter, and contents of any web presentations, live or recorded, visual or audio, and any content uploaded to, or recorded on, our servers is/are considered the private property of our customers.

For confidential events our employees and agents will not view these materials except as necessary to appropriately support the service. Any viewing of such content will be restricted to select, authorized operations and technical staff that support the service. Information viewed will not be shared with any third party. The sole use of any information revealed would be to anticipate, diagnose, support or resolve any problems that might limit or disrupt the service. Our employees and agents will not act on, trade or otherwise use such private information for any personal or commercial gain.

Our system automatically gathers information about the nature of your usage of our services. We do not share any of this data with outside companies. We monitor this data (number of attendees, duration and frequency of meetings, total number of meetings) in aggregate for capacity planning purposes and to understand how our customers, as a group, use the service so that we can continuously improve the quality and reliability of our services.

Any participant details collected on behalf of our customers may be used to authenticate the participant and such participant’s rights to attend, present or organize within a specified activity.

We will release information to law enforcement authorities or other government officials at our sole discretion in connection with an investigation of any matter that is illegal or that could expose EventBuilder or its subsidiaries to liability.

Service Partners

In order to provide services, we contract with third-parties to provide technical features related to our services such as hosting and analytics. Our service partners include the clients that contract for our services, cloud service providers, credit card processors, and content delivery networks. In addition, service partners provide specific services such as payment processing. By providing your personal information, you authorize us to share such information with our service partners for the purpose of providing you with service.

Correction/Updating Personal Information

Subscribers with EventBuilder software subscriptions can log in and update their personal information by clicking on the gear icon in the upper right-hand corner of their Portal dashboard. Subscribers may otherwise contact customercare@eventbuilder.com to have changes made for them.

Unsubscribe/Managing Personal Data

Registrants who wish to manage their personal data or no longer wish to receive online communications from EventBuilder can view, manage, and redact their personal information at any time. Access to managing personal data is found at the bottom of all transactional emails and event pages utilizing EventBuilder software. EventBuilder utilizes two-factor authentication to guard and protect your privacy. Once authenticated, registrants may redact their personal information to unsubscribe from receiving event communications. Please carefully follow the instructions on the Manage Personal Data link to ensure removal of your personal information from our lists. Links to Other Sites

Our web sites may contain links to other sites. Please be aware that we are not responsible for the privacy practices of such other sites. We encourage our customers to read the privacy statements of each and every web site that collects personally-identifiable information. This privacy statement applies solely to information collected by EventBuilder and its subsidiaries employees, applications and web services.

Use of Cookie and Log File Technology

A cookie is a small text file that is stored on a user’s computer for record-keeping purposes. The EventBuilder software product does not use cookies, however, www.eventbuilder.com and www.eventbuilder.rocks do utilize cookie technology for purposes of Website traffic analysis such as the time/date of the visit, the time/date of last visit, the page viewed, the referrer, transaction information for eCommerce pages, and other data.

As is true of most web sites, we gather certain information automatically and store it in log files. This information includes internet protocol (IP) addresses, browser type, internet service provider (ISP), referring/exit pages, operating system, date/time stamp, and clickstream data.

We use this information to analyze trends, to administer the site, to track users’ movements around the site and to gather demographic information about our user base as a whole.

We do not link automatically-collected data through the use of cookies and log files to personally identifiable information.

System Test Reports

We may collect information about personal computer or mobile device system configurations so that we may assist the user on technical support issues in an effort to help them successfully use our services. We do not collect any personal information about the user during this process other than the IP address of the computer that is being tested, information about the internet browser, the operating system and the network connection performance. This information is stored in a report so that we may better assist with any technical issues experienced using that personal computer or mobile device. This information is not shared or given out to any other entity.

EU-US Privacy Shield – For EU Individuals Whose Data is Transferred into the United States

NW Virtual Partners LLC dba EventBuilder is a US company and during the course of our routine business your personal data may be transferred outside your jurisdiction and into the United States.  In order to assure that we meet each person’s privacy expectations we utilize the EU-US and Swiss-US Privacy Shield Framework as the transfer mechanism for that information.

NW Virtual Partners LLC dba EventBuilder complies with the EU-U.S. Privacy Shield Framework and the Swiss-U.S. Privacy Shield Framework as set forth by the U.S. Department of Commerce regarding the collection, use, and retention of personal information from European Union member countries, the United Kingdom, and Switzerland transferred to the United States pursuant to Privacy Shield. NW Virtual Partners LLC dba EventBuilder has certified that it adheres to the Privacy Shield Principles with respect to such data. If there is any conflict between the policies in this privacy policy and data subject rights under the Privacy Shield Principles, the Privacy Shield Principles shall govern. Pursuant to the Privacy Shield Frameworks, the following statements apply:

With respect to personal data received or transferred pursuant to the Privacy Shield Frameworks, NW Virtual Partners LLC dba EventBuilder is subject to the regulatory and enforcement powers of the U.S. Federal Trade Commission.

Pursuant to the Privacy Shield Frameworks, EU, UK, and Swiss individuals have the right to obtain our confirmation of whether we maintain personal information relating to you in the United States. Registrants may access, download, or delete the personal information that we hold about them. Presenters, Moderators and Organizers of our software may access, correct, amend, or delete the personal information we hold about them. An individual who seeks assistance accessing, correcting, amending, or deleting inaccurate data transferred to the United States under Privacy Shield, should direct their query to customercare@eventbuilder.com. If requested to remove data, we will respond within a reasonable timeframe.

We will never use your personal information for a purpose other than which it was originally collected or subsequently authorized. To request to limit the use and disclosure of your personal information, please click the Manage Personal Data link at the bottom of any system generated emails corresponding to the events for which you registered. Alternatively, you may submit a written request to customercare@eventbuilder.com.

We may be required to release personal data in response to lawful requests by public authorities including to meet national security and law enforcement requirements.

NW Virtual Partners LLC dba EventBuilder’s accountability for personal data that it receives in the United States under the Privacy Shield and subsequently transfers to a third party is described in the Privacy Shield Principles. In particular, NW Virtual Partners LLC dba EventBuilder remains responsible and liable under the Privacy Shield Principles if third-party agents that it engages to process personal data on its behalf do so in a manner inconsistent with the Principles, unless NW Virtual Partners LLC dba EventBuilder proves that it is not responsible for the event giving rise to the damage. EU, Swiss, and UK individuals wishing to learn more about our agent third parties may refer to the “Service Partners” section above for a description of those agents.

In compliance with the Privacy Shield Principles, NW Virtual Partners LLC dba EventBuilder commits to resolve complaints about your privacy and our collection or use of your personal information transferred to the United States pursuant to Privacy Shield. European Union, United Kingdom, and Swiss individuals with Privacy Shield inquiries or complaints should first contact NW Virtual Partners LLC dba EventBuilder by email at customercare@eventbuilder.com.

EventBuilder has further committed to refer unresolved privacy complaints under the Privacy Shield Principles to an independent dispute resolution mechanism, the BBB EU PRIVACY SHIELD. If you do not receive timely acknowledgement of your complaint, or if your complaint is not satisfactorily addressed, please visit www.bbb.org/EU-privacy-shield/for-eu-consumers for more information and to file a complaint.

If your Privacy Shield complaint cannot be resolved through the above channels, under certain conditions, you may invoke binding arbitration for some residual claims not resolved by other redress mechanisms. Notification of Changes

If we decide to change our privacy policy, we will post those changes on our web site so that customers are always aware of what information we collect, how we use it, and under what circumstances, if any, we disclose it. If, at any point, we decide to use personally-identifiable information in a manner different from that stated at the time it was collected, we will notify customers via an email. Customers will then have a choice as to whether or not we use their information in this different manner. We will use information in accordance with the privacy policy under which the information was collected.
