CASE STUDY
How AIBuilder Transformed Our Conference Strategy
Introduction
We believe virtual events should do more than simply broadcast information, they should build connections. For well over a decade, our team has helped enterprise organizations like Microsoft deliver more than 75,000 events that engage audiences, drive learning, and spark action. While our history sets us apart in the world of virtual events, what truly distinguishes EventBuilder is our heart. As a women-owned small business, we understand the hurdles that diverse companies often face when trying to break into enterprise supply chains. That lived experience inspires us to design tools and strategies that empower not only large enterprises, but other small and diverse businesses to be seen, heard, and valued.
At our core, we are builders. Builders of events, of relationships, and of opportunities. That spirit of innovation led us to create AIBuilder, a powerful tool that transforms decades of sales and marketing expertise into actionable intelligence. What began as a solution for our own growth is now redefining how companies prepare for conferences, approach conversations, and unlock new business opportunities.

Challenge
Needs and Wants
For years, we approached conferences such as the WBENC National Conference with energy and optimism, yet we encountered the same roadblocks every time.
As a software company with a lean sales department, we simply couldn’t afford to pour endless hours into conferences that didn’t convert. Despite decades of sales and marketing expertise, our conference preparation process was still manual, slow, and unsustainable. Breaking through the noise required hundreds of hours of deep research and preparation that we didn’t have to give.
Our CEO, Lauren Meyer, puts it best: “The door to opportunity is often guarded by corporate buyers who don’t always see where we fit in their complex organizations.”
We realized if we were going to survive, and thrive, we needed to find a better way. So, we built one.
Solutions
Our answer to these challenges was AIBuilder, a tool that transformed decades of sales and marketing expertise into a strategic intelligence engine. Instead of endless manual research, AIBuilder delivers insights and tools that amplify every business development effort.
One module quickly proved to be transformative for us: The Conference Enablement Tool.
While preparing for the WBENC National Conference, our team used it to target 50 companies. In less than two weeks, AIBuilder generated a complete strategic package for each one. Every package included:
- A custom elevator pitch
- A smart discovery questions guide
- A tailored, two-page capability statement tailored to the target company
- Blog post suggestions tailored to the target company
AIBuilder even pinpointed decision-makers, mapped their likely pain points, and connected each package to tailored landing pages and blog posts. Instead of spending hours scrambling through research, our team could simply review the AI’s output for accuracy and focus their time on perfecting finishing touches. We worked on designing One Sheets, setting up target-customer landing pages, and editing blog posts in half the usual time. For the first time, every conversation at the conference started from a place of relevance and clarity.
What once felt like guesswork now became a game-changing approach to conference preparation:
Target Company Dossiers
15–30 page deep dives into each target company, from decision-makers to current technologies in use.
Tailored One-Sheets
Capability statements highlighting our differentiators and solutions specific to each prospect.
Custom Digital Landing Pages
Personalized URLs, making it easy for supplier managers to forward content to appropriate internal teams.
Targeted Pitches
Role-specific talking points that made conversations immediately useful and impactful.
Results

The impact was immediate and far beyond what we imagined.
During our very first use of the tool at the WBENC National Conference, supplier diversity managers leaned in instead of glazing over. With AIBuilder’s one-sheets in hand, we weren’t just introducing ourselves, we were showing exactly how we could help their company. One of those conversations sparked a proposal worth $200,000 with recurring revenue potential only days after the conference.
Beyond individual wins, the tool completely changed the dynamic of conference conversations. Instead of sending us back to “register in the portal,” supplier managers were now able to forward our tailored pages directly to their marketing, IT, and L&D colleagues. Suddenly, we weren’t stuck in bureaucracy, we were sitting down with decision makers who were eager to talk.
The surprises didn’t stop there. At the BDI conference the following month, AIBuilder highlighted opportunities in industries we’d never even considered. A construction company, for example, emerged as a strong prospect when the tool uncovered their use of virtual events to support mental health initiatives for their workforce. This proved to be an opportunity we never would have uncovered through our own traditional research.
Perhaps the biggest shift of all was what this meant for us as a small, women-owned business. What once required large corporate research teams could now be done by our lean staff in a handful of hours. AIBuilder didn’t just accelerate engagement, it leveled the playing field, giving us (and other small and diverse businesses like us) a fair shot at enterprise contracts and a competitive advantage.
Accelerated Opportunities
>>
Conversations that once fizzled now turned into follow-up meetings and real business.
Deeper Engagements
>>
Supplier managers could share tailored pages internally, leading us directly to decision-makers.
New Markets Uncovered
>>
AI-driven research revealed opportunities in industries we had never targeted before.
Leveling the Playing Field
>>
Research once reserved for corporate sales teams is now within reach for businesses like ours.
AIBuilder’s Conference Enablement Package has redefined the way we approach conferences. By combining AI-powered research with tailored, actionable outputs, we transformed networking from a numbers game into a series of meaningful, insight-driven conversations.
The results speak for themselves: stronger engagement, faster opportunities, and entirely new markets we might never have discovered on our own. What once drained hundreds of hours of manual effort can now be done in a fraction of the time—freeing us to focus on building relationships and closing business.
But the impact goes beyond efficiency. For us—and for other small businesses—AIBuilder is more than a productivity tool. It’s a way to level the competitive playing field, opening doors that once seemed locked and creating access to opportunities that drive real growth.
EventBuilder is no longer just attending conferences. With AIBuilder, we’re leading them. And in doing so, we’re proving that when innovation meets heart, small businesses can achieve enterprise-level impact.
In the past, when we pitched, people’s eyes would glaze over. With AIBuilder, we could show them exactly who in their company we could help. Instead of vague interest, we had people setting follow-up meetings on the spot. It was a complete game changer.

I walked around showing small business owners their personalized dossiers. Their reaction was always the same: ‘How do you know this about us?’ It wasn’t just selling—it was validating that we had built something powerful that could help them succeed.
